Terms and Conditions of Arktur Touroperator and DMC system
Web SiteArktur.ua (further referred to as “The System”) is an official site of “Arktur TourOperator and DMC” (further referred to as “Company” with tour operator’s license no. АЕ № 272870 from 01.10.2014, director – Soboleva Nataliia), that provides both information about services and activity of the Company and a booking facility to process online reservation of travel services (tour packages), developed by the Company.
By submitting any booking via the System you become Client of the System (further referred to as “Client”) of the system and accept Terms and Conditions of the System, stated below.
In order to book services Client is offered to use search tool of the System. The System functions as a booking basket so that the number of services per one booking is unlimited. After agreeing to the System terms and conditions and completing registration form, Client proceeds to payment. Booking in the System is available with the full prepayment only, according to the payment method selected at the moment of booking. Booking voucher is provided only after full prepayment of the services either online (in this case it is being provided as soon as Client completes the booking in the System) or offline (see Payment – By Bank transfer according to invoice section).
By credit or debit card
- Online payment is possible by Visa and Mastercard credit cards;
- You have an option to choose available currency while processing your reservation, however, all payments are processed in Ukrainian Hryvnia at the rate of the National Bank of Ukraine on the day of payment;
- All credit card payment transactions are processed on a secure server of "Private Bank" of Ukraine and are 100% safe;
- In case of suspicion of illegal use of a credit card to pay online via the System, we reserve the right to cancel unpaid services, and cancel all the voucher, that were provided previously.
By bank transfer according to invoice
- Upon request Client of the System may request invoice in order to settle payment for the services, booked in the System, by bank transfer;
- Invoice must be settled within 3 days after it was issued but not later than in 2 days prior to the day of arrival of an individual Client (from 1 to 9 pax);
- If no payment is received as per above stated rules, booking is cancelled automatically.
Peculiarities of Privat Bank payment system (LiqPay system)
In order to process the payment, Client needs to have a telephone as LiqPay system may request to verify your identity during the payment process. In this case, a text message with a unique code will be sent to the telephone number, provided during the payment process. Client will be requested to input the provided code into LiqPay system in order to proceed with the payment process.
Attention! Correct format of cell phone number input is : +38 055 5555555 or 38 055 5555555, where 38 stands for country code, 055 – for cell phone operator code, 5555555 – for cell phone number itself.
Important : SMS will NOT be delivered if any other formats of phone number inputs are used (e.g. 0038 055 5555555 etc.)
Secure Payment by Bank Cards
We may need to request additional identification details of the Client to proceed with the booking. In this case, we may request Client to fill in credit card authorization form and forward it to us together with copy of passport of credit card holder. This is a measure to protect Client of the System from fraudulent transaction.
Booking cancellation / Booking amendments
All up-to-date information regarding booking cancellation and amendment conditions is stated in each voucher, provided to the Client at the time of the reservation via the System. All cancellation and amendment requests for existing reservations should be forwarded to e-mail address email@example.com and cannot be processed online.
The following cancellation and amendment conditions are provided just as general guidelines and can be different depending upon the tour Client chose in the System .
In case of cancellation, the following cancellation policies are applied :
- In 3 or more days prior to the scheduled start of the tour: 3% of the total cost of the tour for regular tariffs;
- Any time after the booking is processed for non refundable tariffs : 100% of the tour cost;
- 48 hours prior to start of the tour: cost of the first night of the tour;
- On day of arrival/start of the tour or in case of no show : 100% of the tour cost;
- Cancellations and amendments are accepted only in written to e-mail firstname.lastname@example.org and should be confirmed to the client in return;
Penalties for group bookings may be different and are specified in the groups confirmation.
14:00 – 18:00 (local time) is considered to be a standard check-in time to a hotel. Early check-in or late check-out is subject to additional fees or special booking conditions.
Visa to enter Ukraine
Ukraine applies different visa policies depending upon the country of origin of clients. It is sole responsibility of Client of the System to check visa regulations and policies to enter Ukraine prior to travel. The Company and The System is not liable in case Client is unable to enter Ukraine due to lack of necessary documents.

- In order to apply changes to a reservation (e.g. guest name, last name, arrival or departure date, amount of booked services, room type or hotel class change, services type changes etc.) please :
- process a new reservation and cancel the previous one;
- Send written changes to e-mail address email@example.com.
Reservation of the individual tour or excursion can be processed online with real time confirmation in 24 hours or more prior to the date of start of the tour.
Reservation for guaranteed departures tour is open for online reservation upon to one week (7 days) prior to the planned date of the start of the tour. In case you would like to join the tour after the booking deadline, you are welcome to drop us a note to firstname.lastname@example.org. Manager of the tour will get back to you within 24 working hours with confirmation of the availability or, in case the tour is no longer available for the reservation, will offer you to move your booking to another available date.
Additional Hotel Charges
The System is not responsible for any contingencies incurred as a result of incorrect dates or data, provided by the Client at the time of the reservation.
Система не несет ответственности за любые убытки тем, что Клиент Системы неверно указал даты или предоставил другую ложную информацию.
In case of Client has a problems or complaints after the start of the tour that cannot be resolved by the Client on spot, the Client should immediately notify representatives of the System via emergency number on the voucher. System representative will do everything possible to solve the problem. In case Client is not satisfied with the provided room type at the Hotel, he may request upgrade of the room. In case room of higher category is available, System may provide the required room to the Client for addition cost only. Accommodation complaints are not processed by the System if Client failed to address the problem to the System during the period, while the services are being rendered.
Age of Consent
At the time of booking System Client confirms that he/she is over 18 years old.
The Company is not liable for not being able to fulfill its obligations towards the Client as per current Terms and Conditions in case such inability is caused by Fore Majeure circumstances that include but are not limited by the following events : natural disasters, outbreak of hostilities; pandemics and governmental acts and restrictions connected to pandemics; riots, civil disorders, terrorism acts, revolutions, the act of any government or authority, fire, flood, lightning, explosion, fog or bad weather, interruption in utility service work (including electricity, gas and telecommunication services), reconstruction works carried out at the hotel, or strikes.

If services in the previously confirmed bookings are not available or can’t be fully implemented and in such problems were not caused by force majeure, The System is responsible to offering alternative options for pre-paid services with the latter being equivalent in cost and category. In case Client refuses to accept alternative variants of services (accommodation) offered by the System, the latter processes full refund for the paid services.
If the Client fails to provide the correct email address and phone number with correct country code, the System is not responsible in case Client didn’t receive documents or messages regarding status of the processed reservation. The System reserves the right to cancel reservation in case contact details of the Client, provided at the time of the booking, are incorrect or misleading.
